Information we collect

We may collect:

  • your name, company, email address and telephone number;
  • the enquiry type, message and other information you submit through our contact form;
  • information contained in emails, telephone conversations and other correspondence;
  • business contact, quotation, project and customer relationship information; and
  • technical and usage information such as IP address, browser or device information, access times, security logs and website analytics.

Please do not send special-category or otherwise sensitive personal information through the website unless we specifically request it and it is necessary.

How and why we use information

We use personal information to respond to enquiries, provide product and specification support, prepare quotations, manage dealer and reseller relationships, administer projects and contracts, maintain website security, improve our services, keep appropriate business records and comply with legal obligations.

Depending on the circumstances, our lawful bases are steps taken at your request before entering a contract, performance of a contract, our legitimate interests in operating and improving a secure B2B website and managing commercial relationships, compliance with legal obligations, or consent where this is required—for example, for non-essential analytics.

Analytics, cookies and embedded media

We use Google Analytics to understand how the website is used. Non-essential analytics should operate only where the visitor has made the relevant cookie choice. Product pages may also contain privacy-enhanced YouTube embeds; YouTube may process information when a video is loaded or played.

More information is provided in our Cookie Policy.

Who we share information with

We may share information with trusted providers supporting website hosting, email, IT, security and analytics; with professional advisers such as accountants, insurers and legal advisers; with suppliers or delivery partners where necessary for an enquiry or project; and with regulators, courts or public authorities where required by law.

These parties may act as processors or as independent controllers. We do not sell personal information.

International transfers

Some technology providers, including Google and YouTube, may process information outside the UK. Where UK data protection law requires safeguards, we rely on an applicable adequacy regulation or approved contractual and organisational safeguards. Contact us if you would like more information about the safeguards relevant to your information.

How long we retain information

General enquiries are normally retained for up to 24 months after the last meaningful contact. Information forming part of a quotation, contract, transaction, customer account or potential legal matter may be retained for up to six years after the relationship or matter ends, or longer where the law requires it. Security logs and analytics information are retained only for periods reasonably necessary for their stated purposes and according to the relevant service configuration.

We may delete or anonymise information sooner when it is no longer required.

Your data protection rights

Depending on the circumstances, you may have rights to access, correct or erase your information; restrict or object to its use; receive portable information; and withdraw consent at any time. Some rights are subject to legal conditions and exemptions.

To exercise a right, email sales@psiseating.co.uk. We may need to confirm your identity. You can also complain to the Information Commissioner’s Office.

Security and automated decisions

We use proportionate technical and organisational measures intended to protect personal information. No internet service is completely secure, so please avoid sending confidential information unless requested.

We do not use website enquiry information to make solely automated decisions that produce legal or similarly significant effects.

Changes and contact

We may update this notice when our services, technology or legal obligations change. The date above shows when it was last updated.

Questions about this notice can be sent to sales@psiseating.co.uk or PSI SEATING LTD at the registered office shown above.
